DaChurchMan ("we", "our", or "us") is a product of SageIT Services, a software company based in Accra, Ghana. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use any part of the DaChurchMan platform, including:

  • The DaChurchMan web dashboard (app.dachurchman.com)
  • Per-church branded mobile applications (iOS and Android)
  • DaChurchMan Social
  • DaChurchMan Worship Console (desktop)

By using any of our services, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Full name, email address, phone number, date of birth, gender, marital status, and profile picture.
  • Church Membership Data: Membership details, class/group affiliations, baptism records, confirmation records, and other church-specific information as managed by your church administrator.
  • Financial Information: Tithe, offering, and donation records; payment transaction details processed through Paystack. We do not store your credit/debit card numbers — these are handled securely by Paystack.
  • Communication Data: Messages sent through the in-app chat, comments, and other communications within the platform.
  • Contact Form Submissions: Name, email, and message content when you contact us through our website.

2.2 Information Collected Automatically

  • Device Information: Device model, operating system version, unique device identifiers, and app version.
  • Usage Data: Features accessed, pages viewed, and interaction patterns to improve our services.
  • Push Notification Tokens: Firebase Cloud Messaging tokens to deliver push notifications.

2.3 Information Collected with Your Permission

Our mobile apps may request access to certain device features. You can grant or deny these permissions at any time through your device settings:

  • Camera: Used for live video streaming to the Worship Console and scanning QR codes.
  • Microphone: Used for audio streaming during live broadcasts.
  • Photo Library: Used to set your profile picture and share images.
  • Location: Used to display nearby churches and events on the map.
  • Calendar: Used to add church events to your device calendar.
  • Biometrics (Face ID / Fingerprint): Used to secure app access. Biometric data is processed entirely on your device and is never transmitted to our servers.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the DaChurchMan platform and its features.
  • Authenticate your identity and secure your account.
  • Send push notifications for church announcements, events, and updates.
  • Send SMS notifications via mNotify for church communications initiated by your church administrator.
  • Process financial transactions through Paystack for tithes, offerings, and donations.
  • Enable communication between church members and administrators.
  • Generate reports and analytics for church administrators (e.g., attendance trends, financial summaries).
  • Respond to your enquiries and provide customer support.
  • Comply with legal obligations.

4. Data Sharing and Third-Party Services

We do not sell, rent, or trade your personal information to any third party.

We share your information only with the following service providers, strictly for the purpose of operating our platform:

5. Multi-Tenant Architecture

DaChurchMan operates on a multi-tenant architecture. This means:

  • Each church's data is logically isolated from other churches.
  • Church administrators can only access data for their own church and its members.
  • Denominational hierarchies (district, region, national) only see aggregated data from their constituent churches as permitted by the organizational structure.
  • Your personal data is accessible only to administrators of the church(es) you belong to.

6. Data Security

We take the security of your data seriously and implement the following measures:

  • Encryption in Transit: All data transmitted between your device and our servers is encrypted using TLS/SSL (HTTPS).
  • Encrypted Storage: Sensitive data such as authentication tokens are stored using encrypted storage on your device.
  • Certificate Pinning: Our mobile apps implement SSL certificate pinning to prevent man-in-the-middle attacks.
  • Role-Based Access Control: Church data is protected by granular role-based permissions.
  • Regular Security Audits: We conduct periodic security assessments and penetration testing of our platform.
  • Secure Authentication: OTP-based verification and optional biometric authentication.

7. Data Retention

  • Your personal data is retained for as long as your account is active and your church maintains its subscription with DaChurchMan.
  • If you request account deletion, your personal data will be permanently deleted within 90 days of the request.
  • Aggregated, anonymised data (e.g., attendance statistics) may be retained for analytical purposes and cannot be used to identify you.
  • Financial transaction records may be retained longer as required by applicable law.

8. Your Rights

You have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete personal data.
  • Deletion: Request deletion of your personal data (subject to legal retention requirements).
  • Withdraw Consent: Revoke device permissions (camera, location, etc.) at any time through your device settings.
  • Data Portability: Request your data in a structured, machine-readable format.
  • Object: Object to certain processing of your personal data.

9. Children's Privacy

DaChurchMan is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at [email protected] and we will promptly delete such information.

Church administrators may store records of minors (e.g., children's ministry attendance) as part of church operations. This data is managed by the church and subject to the church's own data governance practices.

10. International Data Transfers

Our servers and third-party service providers may be located outside of Ghana. By using our services, you consent to the transfer of your information to countries that may have different data protection laws. We ensure that appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make significant changes, we will notify you through the app or via email. The "Last updated" date at the top of this page indicates when the policy was last revised. Your continued use of our services after any changes constitutes acceptance of the updated policy.
